Job Description

The Fleet and Equipment Manager will be responsible for a growing fleet of more than 180 vehicles in the Dallas Fort Worth market. We’re looking for a self-starter who has excelled in a similar environment and can develop best practices for the maintenance, management, and optimization of these important assets. This position will report to the VP of Operations.

Responsibilities

Leadership

  • Partner closely with Safety and Facilities team to influence outcomes, ensure yards and assets are properly secured, and support vehicle accident evaluations and repair coordination.
  • Present quarterly updates at QBRs to branch managers and the leadership team on key fleet and equipment initiatives, performance metrics, and results.
  • Manage priorities to support company initiatives.

Fleet And Equipment

  • Manage mechanics’ schedules to ensure coverage aligned with operational needs, including opening/closing support and end-of-day lot security inspections, while proactively minimizing overtime through efficient workforce planning.
  • Evaluate and determine when fleet and equipment repairs should be performed in-house versus outsourced, maximizing internal productivity while leveraging external providers for specialized services.
  • Develop and implement comprehensive preventive maintenance programs and tracking for all company vehicles and equipment to minimize downtime and maximize efficiency.
  • Build and maintain strong vendor partnerships to deliver efficient, professional service and reduce fleet and equipment downtime.
  • Evaluate and procure new vehicles and equipment, ensuring alignment with budget, operational requirements, and interest expense considerations.
  • Establish lifecycle timelines for all vehicles and small equipment companywide and maximize resale value once assets reach end of useful life.
  • Collaborate with internal teams to optimize and document vehicle setup and workflow processes to enhance operational effectiveness.
  • Manage vehicle and equipment loaner units provided during repairs.

Finance

  • Create and maintain departmental budgets and assist branches in cap-ex budgeting.
  • Partner with the accounting team to ensure assets are recorded, depreciated, and ultimately removed after useful life. 
  • Prepare and deliver a report at the monthly finance meeting.

Job Requirements

  • Bachelor’s degree in business administration, logistics, or a related field, or equivalent work experience
  • Proven experience (3+ years) in fleet and equipment management within a similar industry
  • Proficient in Office 365, fleet management software and related tools; Azuga and/or Acumatica preferred
  • In-depth knowledge of safety regulations and compliance standards
  • Valid Texas driver’s license
  • Strong organizational and problem-solving skills
  • Ability to multitask and prioritize in a fast-paced environment
  • Spanish language proficiency preferred (written and verbal)

Physical Demands 

Must be able to lift/carry materials up to 50 lbs, move about the work site, communicate efficiently and effectively on the telephone or in person, and complete required paperwork. Exposure to dust, pollen, chemicals, cold, and heat in an external environment. Requires extended periods of walking, standing, kneeling, bending, and lifting. 

Working Conditions

Include external environment dealing with all weather and terrain exposure. Safety equipment includes, but is not limited to hard hats, gloves, earplugs, safety vest and safety glasses. This position may necessitate working during inclement weather events.
