Step into the heart of a leading wealth management practice in Ada, OK, where organization and service meet financial expertise. As our Client Services Operations Assistant, you will be the connective tissue between advisors and clients—keeping calendars tight, documentation precise, and communication seamless.

A Day in the Role

Morning begins by shaping a clean agenda for our financial advisors—coordinating schedules and confirming client meetings. You’ll prepare and process client paperwork with a keen eye on regulatory requirements, then update our secure client databases to ensure information is current. Throughout the day, you’ll field client calls and emails with professionalism and warmth, support the creation of financial reports and meeting decks, and help stage client seminars and events. You’ll also keep the office humming—filing, handling data entry, and monitoring supplies so the team can focus on advisory work.

What You’ll Tackle

• Coordinate advisor calendars and schedule appointments with precision.
• Prepare, process, and track client documentation while adhering to regulatory standards.
• Maintain accurate, secure client records across our systems.
• Provide timely, professional responses to client inquiries.
• Assist with building financial reports and presentations for client meetings.
• Organize logistics for client events and educational seminars.
• Handle essential office tasks: filing, data entry, and supply management.

What You Bring

• High school diploma or equivalent; bachelor’s degree in finance, business, or related field preferred.
• Administrative experience—ideally in financial services.
• Exceptional organization and ability to manage multiple priorities and deadlines.
• Clear, professional communication skills (written and verbal).
• Proficiency with Microsoft Word, Excel, and PowerPoint; familiarity with financial software is a plus.
• Meticulous attention to detail, confidentiality, and accuracy.
• Positive mindset with a desire to learn and grow within the firm.

Technical and Accounting Exposure

• Data analysis and manipulation
• Accounts payable (AP) and accounts receivable (AR)
• Bank reconciliation
• Certified Public Accountant (CPA)
• Certified Management Accountant (CMA)
• Budgeting and forecasting experience
• Financial audit experience
